What does construction software cost in Denmark?

Construction software pricing in Denmark usually follows one of two models: a fixed monthly subscription whatever your usage, or payment for actual use, for example per report or per project. Which is cheaper depends on how steady your volume is across the year. Assurement's Lite Report costs 149 DKK per report excl. VAT, with no subscription and no lock-in, and creating an account and documenting on site is free.

Subscription or pay-per-use: the two basic models

A fixed subscription buys predictability: you know what the software costs every month, however much you use it. With pay-per-use, the cost follows your activity: busy months cost more, quiet months cost less.

  • A subscription tends to pay off when you have steady, high volume all year (many parallel projects with constant documentation needs), so you would reach the subscription price anyway.
  • Pay-per-use tends to pay off when activity swings with the seasons, or when you are testing whether a tool fits your process and don't want to commit to a fixed amount before you know.

Neither model is best by default. The question is whether you would rather pay for capacity you may not fully use, or accept a bill that moves with your workload.

Hidden costs to check before you sign

The advertised base price rarely tells the whole story. Before comparing two providers, ask:

  • Is there a fee per user, and what happens when a subcontractor or the client needs access?
  • Are photos, storage of finished projects or exporting reports charged separately?
  • Is there a lock-in period, and what does it cost to leave early?
  • Are support, setup and training included, or sold as add-ons?
  • Can the price rise during the agreement, and by how much?
  • Can you take your documentation with you if you switch provider?

A low base price with fees stacked on top can end up costing more than a higher, all-inclusive one, especially as the number of users grows.

A worked example: what does it cost per month?

A team producing around 15 site reports a month pays 15 × 149 DKK = 2,235 DKK excl. VAT (2,793.75 DKK incl. VAT). In a quiet month with 5 reports, the bill drops to 745 DKK excl. VAT, and a month with no reports costs nothing. A fixed subscription costs the same either way.

For a VAT-registered company, the excl. VAT figure is normally the real cost, since VAT on purchases can be deducted. Compare like with like: if one quote is excl. VAT and another incl. VAT, the difference is 25%.

Run the same calculation with your own figures (reports in a busy month and in a quiet one) and set it against the subscription quotes you have. That is where the real difference shows up, not in the headline price.

How to compare two solutions fairly

Start from a typical month: number of reports, users and projects. Then run each provider's pricing model against those numbers, including the people who only need to look, such as a subcontractor or the client.

Test on a real project, not demo data. Short or no lock-in lets you try a tool on a single project and drop it if it doesn't fit, without an expensive decision to reverse. When price isn't the most important question

For a tool used daily by several people on site, ease of use and reliability often matter more than a small price difference. A cheaper tool that isn't used properly rarely saves money once gaps in the documentation and rework are counted.
